About Workflows
Workflows are typical tasks performed in Capture. Each Workflow section will present a topic, definition, and how to process the given topic in Capture.
Should the user desire more detailed information a Quick Help link is provided at the bottom of each workflow page. Quick Help pages are mini tutorials that give step by step instructions on how to perform various functions in Capture CAMA. The Quick Helps can also be accessed from the table of contents in the Quick Help section.
Deed Processing
A deed is a legal instrument that conveys changes made to a parcel. Capture allows for a local county’s Probate court to communicate directly with Capture so deeds that have passed through the court will import into Capture. If that is not possible then there are alternate ways to import deeds into Capture on a daily basis. Deeds may also be brought into the assessment office by the owner. Regardless of how the deed enters the system, there are three departments that handle and make changes to parcel information based on the deed: mapping, assessment, and appraisal. The changes made may be ownership (assessment), legal (mapping), and/or sales change (appraisal).
Address Management
To ensure consistency of data, Capture stores street names and subdivision names in special databases. When entering street or subdivision names, users are required to select names from drop-downs that appear as they type. Only names stored in the databases will be available in these drop-downs. This requirement helps to eliminate data-entry errors and ensure the ability to search.
Assessment
Capture’s Assessment workflows allow users to manage the assessments for parcels. Items that affect the final taxable value of a parcel, such as Agricultural Use, are managed in assessment. The Assessment features also allow users to finalize Tax Rolls and roll parcels over to new tax years.
Personal Property
Personal Property accounts can be managed through Capture. Users can process renditions, regenerate accounts, and update address information on both individual and mass levels. They may also rollover the depreciation schedule, create custom lists, supplement, and generate reports for personal property accounts. The Quick Helps located in the Personal Property section will walk users through these processes step-by-step.
Valuation
Capture’s valuation workflow allows users to determine parcel values by calculating the value of land and improvement items on each parcel. Parcel values are calculated based on either the Honeycutt or Marshal & Swift method of appraisal. The method to be used is determined by the State.
The total value of a parcel is found by adding the value of all land, buildings, appendages, miscellaneous improvements, and any other improvements on the parcel.
